1. Information We Collect

When you create a SendQuote account, we collect:

Account information: Your email address, business name, phone number, and password (stored securely using industry-standard hashing).
Business profile: GST number, business address, UPI ID for payments, and logo.
Quote and invoice data: Client names, descriptions, prices, and any other information you include in your quotes and invoices.
Usage data: How you use the platform, including quote creation dates, client interactions, and feature usage.
Payment information: We do not store your credit card or bank details. All payment processing is handled by Razorpay, our certified payment partner.

2. How We Use Your Information

We use your information to:

Provide, maintain, and improve the SendQuote service
Generate professional PDFs of your quotes and invoices
Send email notifications when clients open or interact with your quotes (only with your explicit action)
Process payments for paid plans through Razorpay
Provide customer support and respond to your inquiries
Send service-related emails (account confirmations, password resets, quote updates)
Improve our product based on aggregated usage patterns

3. Information Sharing

We never sell your personal information.

We may share your data with:

Supabase (our database provider) for secure data storage and realtime features — their privacy policy applies to data stored on their infrastructure.
Razorpay for payment processing — they handle all credit card and UPI transaction data under their own privacy policy.
Vercel (our hosting provider) for deploying and serving the application.
Resend for sending transactional emails (quote notifications, account updates).
Legal requirements: If required by law, court order, or to protect our legal rights.

4. Data Retention

Your quotes and invoices are retained until you delete them or close your account.
When you delete your account, all personal data is permanently removed within 30 days.
Anonymous, aggregated usage statistics may be retained indefinitely for product improvement purposes.

5. Cookies

Authentication cookies: Required for keeping you signed in. These are httpOnly, secure, and SameSite=Strict.
Analytics: We may use basic analytics tools to understand how users navigate the platform. No personal data is tracked.
Quote tracking pixels: When you send a quote, we may include a tracking pixel to notify you when the client opens it. The client sees no ads or tracking — only you get notified.

6. Your Rights

You have the right to:

Access: Download all your data at any time from your account settings.
Correction: Edit your business profile, client information, and quote data.
Deletion: Delete your account and all associated data — email us at the address below.
Data portability: Export your quotes and invoices in JSON or CSV format.

7. Security

We use industry-standard encryption (AES-256) for sensitive data at rest. All data transmitted between your browser and our servers uses TLS 1.2+. Our database uses Row Level Security (RLS) so each user can only access their own data.

While we take reasonable measures to protect your data, no internet transmission is 100% secure. We encourage you to use strong, unique passwords and keep your login credentials confidential.

8. Children's Privacy

SendQuote is not intended for users under 18 years of age. We do not knowingly collect information from children. If you believe a child's information has been provided without parental consent, please contact us immediately.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any material changes will be communicated via email to all registered users at least 30 days before they take effect. Continued use of the service after changes constitutes acceptance of the updated policy.
